Effective July 1, 2026, athletic coaches working with independent sanctioning authorities must be screened through the AHCA Care Provider Background Screening Clearinghouse. Veriden runs your compliance workflow: your organization screens, the state determines eligibility, and we track and report status so nothing lapses.

Your coaches’ results go to you and the state. Never to us.
Veriden never receives criminal history results. Screening results and eligibility determinations route to your organization and to the state, which keeps you in control of your own records and keeps us out of the sensitive-data business. The platform tracks status and dates only.

Who must be screened
Everyone with direct contact with your minor athletes in a coaching-type role: head coaches, assistant coaches, team managers, and referees. Screening only head coaches leaves the rest of the staff out of compliance. The 2026 amendment added a possible Level 1 exemption path for referees and for people under 18; its exact scope is still being clarified, so until it is settled, treat referees with direct minor contact as needing Level 2.
Qualified entity and VECHS participation
An independent sanctioning authority is a qualified entity by operation of law and participates in FDLE’s Volunteer and Employee Criminal History System.
Level 2 screening, conducted by the organization
Every covered coach receives a Level 2 state and national criminal history screening, and the organization itself conducts it through the state. The duty cannot be pushed down to an individual team.
Screen before authorizing
A coach must be screened before being authorized to work with athletes. The 2026 amendment added a narrow exemption path; Veriden does not decide whether it applies to you.
Written disqualification notice within seven business days
If a coach does not pass, the organization gives written notice within seven business days. The notice and appeal procedure should be written down.
Five-year retention of results and notices
Screening results, disqualification notices, and related documentation are kept for at least five years, in the organization’s custody.
Renewal and affiliation tracking
Retained prints run on a five-year clock, and a break in affiliation longer than ninety days requires a resubmission. Affiliation changes are reported within the required window.
Continuous monitoring through retained prints works differently on each path. On the Clearinghouse path, the Clearinghouse rap back is Florida only until the state adds federal rap back, planned for 2027. On the FDLE VECHS path, an organization may retain prints for an annual fee per person, and every retained person is enrolled in the National Rap Back Program, which includes results from all states. Organizations still screening under FDLE VECHS are on a transitional path; we support both. An organization that moves to the Clearinghouse still carries its FDLE VECHS User Agreement obligations, including keeping signed waivers and the limit on what it may tell another organization.
The statute also covers concussion guidelines, annual parent consent, and removal-and-return rules. We can track those alongside screening if you ask us to.

Schools and districts
Public school districts, charter, and private schools screen under the education code, and their scale and procurement differ. They are quoted as enterprise rather than on the calculator above.
