Privacy Policy

2.1 Information You Provide:

• Account information (name, email, password, phone number)
• Your answer to “I am 18 or older” (yes or no). We do not ask for or keep your date of birth.
• Profile information you choose to add: a bio, where you are (a place or ZIP code), your time zone and, for a coach, your organization, coaching philosophy, sports and age groups coached, years of experience, certifications and website. There are no account photos.
• Payment information (processed securely through our payment processor)
• If a coach invites you to connect: your email address, which the coach enters. We use it only to send that invitation, and the coach sees only your email and whether you accepted until you link a child.
• Sessions a coach schedules with your child: the date, time, length and place (a public park's name and address, or a meeting link). We email you when a session is scheduled, changed or cancelled. Nothing is sent to your child.
• Skills a coach records for your child: each skill on the coach's list and its status, with who changed it and when.

2.2 Information Collected Automatically:

• Device information (browser type, operating system)
• IP address, kept with your sign-in sessions
• Cookies needed for sign-in and security (see section 9)

Veriden is the coach-screening compliance-administration service offered by RateMyCoach LLC to youth-sports organizations. This section describes what the Veriden platform holds and, as importantly, what it does not.

What Veriden holds: for each coach an organization places on its roster, the coach's name, date of birth (encrypted at rest), contact details, mailing address, the organization's roster and active/inactive status, screening and Clearinghouse transaction identifiers, screening status and dates (for example, screened and current, renewal due, or a status change reported by the state), signed acknowledgments and waivers during the signing flow, a keyed fingerprint of the coach's name and date of birth (used to recognize the same coach without reading those details), and an audit log of actions taken on the platform.

What Veriden never holds: criminal history results or records of any kind, Social Security numbers, and student records. Screening results and eligibility determinations are delivered to the organization and to the State of Florida, never to the platform. Document payloads collected for signature are purged after the organization retrieves them; only the status that they were completed is retained.

Who sees it: the organization that placed the coach on its roster, its authorized users, the coach (their own record), and RateMyCoach LLC operators, who can reach every organization's records to run the service. Veriden sends nothing to any state agency; the organization deals with the State of Florida directly. Client organizations are isolated from one another. We do not sell or share this information with advertisers or data brokers.

Retention: the evidence log (the record of actions taken on the platform) is kept for the life of the client relationship plus seven years, and a legal hold suspends deletion. Document payloads are purged after the organization retrieves them. A coach may request a copy of the information Veriden holds about them by writing to support@ratemycoach.pro and may ask their organization to correct it.

We use your information to:

• Provide, maintain, and improve our services
• Process transactions and send related information
• Send you notifications about your teams, schedules and account
• Track screening status and deadlines for organizations
• Detect and prevent fraud, abuse, and security incidents
• Comply with legal obligations
• Respond to your inquiries and provide customer support

4.1 Children under 13: For a child under 13, the platform holds the first name and last initial, sport, position and level, plus the skills, evaluations and stats a coach records. Nothing else. Entered by the parent who holds the account; no minor messaging; no data entry by a minor. We apply this to every child on the platform, whatever the child's age.

4.1a Parents, not children: Parents enter and control their children's records. Children do not use RateMyCoach: a child has no account, signs in to nothing and enters nothing. Every account holder confirms “I am 18 or older”; a person under 18 never holds an account.

4.1b Sharing a child under 13: A child under 13 is shared with a coach or team only after the child's parent or legal guardian checks one box (“I am this child's parent or legal guardian, and I agree to share this record with” the coach or organization named) and then confirms by opening the link we email to their account within 24 hours, signed in as themselves. We keep a record of each step (who, which child, which coach or team, when, and the exact wording shown), which the parent can see under Sharing log. A parent can remove a coach or team at any time.

4.1c Athletes 18 or older: An athlete 18 or older may hold their own account and their own record: the same first name and last initial, sport, position and level, plus the skills, evaluations and stats a coach records. No parent is involved: the athlete accepts or declines a coach, removes a coach at any time, and gets the session emails.

4.2 Coaches you link: A coach sees your child's first name and last initial, sport and level, and the skills and sessions they record, only after you accept their invitation and choose your child. You can remove the coach at any time, and their access ends at once.

4.3 Parental Rights: Parents or guardians may review, delete, or refuse further collection of their child's personal information at any time by contacting us at support@ratemycoach.pro.

We may share your information with:

• Other Users: Profile information is visible only to the people you work with on the platform (your organization, team or clients); there are no public profiles.
• Service Providers: companies that help us run the platform. Each one receives only the information it needs for the job named here. Our hosting provider serves the website and runs scheduled tasks. Our data storage provider holds our database and files and handles sign-in; if you choose an optional sign-in with an account from another provider, that provider tells us your name and email address. Our support email provider hosts our staff email and documents, so messages you send us are held there. Our payment processor handles payments; we never see or store your full card number. Our email delivery provider sends our emails. A rate-limiting provider limits repeated requests. A password-breach checking service checks a new password against known breaches; we send only the first five characters of a scrambled form of the password, never the password. Our error-reporting provider receives a report when the website hits an error: the error, where in our code it happened and the page path. Before a report leaves, we remove IP addresses, cookies, sign-in tokens, account details and anything after the page path; nothing is sent from the safety page. Our domain name and access-control provider runs our domain's name service and controls sign-in to our own staff tools, so it sees which staff member signs in there. Our staff tools also have an optional business search; when it is switched on, the search text a staff member types and the map area they pick go to the search provider, and never any information about a coach, athlete, parent or child.
• Calendar and map links you choose: if you use Add to calendar, the session's date, time and place go to the calendar service you pick; a calendar file you download goes only to your device. If you open a session's address in maps, the address goes to the maps service you open.
• Legal Requirements: When required by law or to protect our rights, safety, or the safety of others.
• Business Transfers: In connection with a merger, acquisition, or sale of assets. Any successor is bound by the same commitments in this section, including no sale of your personal information and no advertising.

We do NOT sell your personal information to third parties.

No Advertising: We do not display third-party advertising on the Service, we do not serve behavioral or targeted ads, and we do not share your personal information with advertising networks or data brokers. We do not use your personal information for ad targeting.

We implement industry-standard security measures to safeguard your information:

• Encryption in transit (HTTPS) and at rest
• Row-level security policies in our database
• Secure payment processing through PCI-compliant providers
• Two-factor authentication for sensitive operations
• Access controls limiting employee access to personal data

We keep your information while your account is open.

Deleting your account: when you delete your account in Settings, the account is removed at once and you are signed out. A background job then clears the remaining records linked to it, including your files and any copy of your name or email address held in other records. Records kept for safety or legal reasons, such as security audit records, stay with the link to your account removed.

When deletion is refused: the account is not deleted, and you are told why, while a Veriden record names it, a legal hold names it, a coach record carries a suspension, or a child on the account is shared with a co-parent. Write to support@ratemycoach.pro and we will work through it with you.

Veriden records (the evidence log, organization and operator records) are kept for the life of the client relationship plus seven years.

Security audit records are kept for seven years. After that they are deleted, whether or not they still identify an open account, unless a legal hold applies.

You have the right to:

• Access: Request a copy of your personal data
• Correction: Update or correct inaccurate information
• Deletion: Request deletion of your account and data
• Portability: Receive your data in a machine-readable format
• Restrict Processing: Limit how we use your data

We do not send marketing email.

• Sign-in: keep you signed in and protect your session
• Security: recognize a device you have already signed in from (kept for up to 400 days) and remember a pending team invitation for one hour
